Signing Up: Account Structure

When you first sign up with 7shifts, you'll be guided through a few initial steps. In step 3, you'll build your Account Structure.

This article covers the basics of your 7shifts Account Structure which can be done in two ways:

Prerequisites

⚠️ This article is intended for new users setting up their Accounts for the first time. Existing Accounts can take a look at 7shifts Account Structure - Locations, Departments, and Roles.

⚠️ The schedule importer is currently only available upon account creation.


Account Structure Basics

Having a clear Account structure is essential because it ensures organizational clarity, efficient scheduling, accurate reporting, communication through our messaging feature, and more!

  • We separate schedules based on the Departments you add.
  • Your team will only see the schedules of their departments (we call these "assignments" in 7shifts).
  • A Manager must be assigned to a department to see and create schedules for that department.
  • Set up clear Departments > Roles.

Upload Your Current Schedule

The "Upload your current schedule" option automatically imports your existing departments, roles, and team members. All you need to do is upload a file!

⚠️ This tool works best if you upload an Excel file with only one sheet or page.

⚠️ The file size can be up to 5 MB.

     
  1. Select Upload your current schedule > Continue:


  2.  
  3. Upload your file (.xlsx or .csx only).

  4. Click Build my restaurant!  This step can take up to 2 minutes.

  5. From the file, we will pull your Departments and Roles. Make any necessary edits to the Department/Roles: edit names using the pencil icon, delete them using the trashcan icon, and add new ones + ! Click Confirm and continue:

  6. From the file, we will pull your Employees and their corresponding Assignments. Make any necessary edits to each Employee's first/last name and their Assignments (Departments, Roles). Click Done.

  7. Enter a valid phone number > click Let's go!

  8. Nicely done! You'll be taken to your Schedule page, where you can start scheduling or continue exploring 7shifts. Not sure where to start? Head to your Quick Start guide:


Manually Create Your Departments, Roles, and Team

The "Manually creating your departments, roles, and team members " option allows you to customize and set up your Account structure from scratch.

  1. Select Build Manually > Continue:


  2. Enter the details for each Department and the Roles that will live within them. You can add as many Departments as you would like, or use the More options icon more-options-ellipses.png to delete them. Click Continue.



  3. Enter a valid phone number > click Let's go!

  4. Nicely done! You'll be taken to your Schedule page, where you can start scheduling or continue exploring 7shifts.
