Time Clocking: View, Add, and Edit Punches for Admins & Managers

The Time Clocking page is getting a new look! This new experience was developed to improve visibility, increase efficiency, and make additional features more easily accessible.

In the coming weeks, these new experiences will be slowly rolling out to our users. During this time, you can expect to see the Time Clocking changes taking place in your Account and our Knowledge Base. 

Your Time Clocking page simplifies how you handle employee time punches, providing a central hub for managing and reviewing all punches. Whether punch data is collected through an integrated POS or 7punches, it enables easy reporting supported by various Payroll Integrations and Exports. 

⚠️ Prerequisites
  • The Time Clocking page will only be visible to users with 7punches enabled by an Admin. Click here to learn more!
  • Managers / Assistant Managers require permission 'Can manage time punches' to view Time Clocking and edit punches.
  • Admins/Managers/Assistant Managers user types have full access to the 7punches Punch Pad. This includes launching the 7punches app, and punching in/out to manage their own time.
  • Depending on your POS integration, some of the below features may not be accessible.
  • This feature is not supported with Heartland Restaurant, Lightspeed, and Upserve POS at this time.

Approved vs. Unapproved Time Punches 

⚠️ When an Employee clocks in within your Auto-approval Period, the punch may be unapproved for other reasons, such as when:

  • A labor exception has occurred
  • An enforced break was not taken or not taken for the correct duration
  • The Employee was automatically punched out

By default, the Time Clocking page marks time punches as unapproved if they are recorded before the scheduled start time, after the scheduled end time, or auto-punched out. 

Punches requiring approval will be in grey. Click the pencil icon to edit the punch or click on Approve to allow it, but not make any changes to the punch: 
 

Punches can automatically be approved by first setting up your Grace Period within the 7punches settings. The Grace Period setting is the minutes before/after a shift starts that an Employee can clock in and the minutes before/after a shift ends that an employee can clock out. If the Employee's punches fall within these bounds, the punch will be automatically approved.

Example: With a 5-minute Grace Period, and Auto-approve punches enabled, an Employee scheduled to start at 10 am, and punches in any time between 9:55 am - 10 am, will have their punch auto-approved.


View Time Punches

Here's an overview of how you can customize and view time punches. Use the tabs to change your viewing preferences through the mobile or web app.
Mobile Web
  1. Log in to the mobile app > tap on the More menu ' ☰ ' in the bottom right corner of your screen > select Time Clocking.

  2. Tap on the calendar icon to view today's punches:



  3. Change the day by tapping on the date (or use the arrows to move forward/backward):

     

  4. Click on the blue Location icon to switch between locations:

     

  5. Use the tabs to switch between Unapproved and Approved punches:

  6. Tap on a punch to expand more details of the time card:

     


Edit/Add Time Punches

Here's an overview of how you can add and edit time punches. Use the tabs to change your viewing preferences through the mobile or web app.
Mobile Web
    1. Log in to the mobile app > tap on the More menu ' ☰ ' in the bottom right corner of your screen > select Time Clocking.

    2. Use the filters to narrow down your results and use the tabs to switch between Unapproved and Approved punches:

      To edit a punch:

    3. Tap on a punch:

       

    4. Click on the more options icon > choose to Edit Punch (or, delete punch to remove it completely):

       

    5. Tap on the various fields to add punch details > hit Save to complete these changes:

       


      To add a punch:

    6. Click + at the top right corner to enter new punch details, be sure to hit Save once you're done:

       

      To delete a punch:

    7.  Click on the more options icon > choose Delete Punch.
